Lead Scoring in Your CRM: Models That Sales Teams Trust

Marketing sends hundreds of leads but sales only follows up on a few. Without CRM lead qualification that ranks fit and intent, your best prospects drown in the same queue as tire-kickers, and lead prioritisation becomes guesswork.

We build transparent, tunable scoring so reps work the right queue first.

The Problem

Sound Familiar?

These are the exact issues marketing leads and sales directors bring us:

  • Marketing floods the CRM with hundreds of MQLs while sales only works a handful
  • Reps cherry-pick familiar names instead of following a ranked lead prioritisation queue
  • Points-based scores pile up forever, so cold contacts still look "hot"
  • MQL and SQL definitions differ between marketing and sales, so nobody trusts the handoff
  • Hot inbound leads sit for hours while reps dial through low-intent form fills

HubSpot retired its legacy Lead Score property in August 2025. Workflows, lists, and alerts still pointing at the old score stop updating. If your CRM lead qualification still rides a black-box points pile, now is the moment to rebuild fit-plus-intent models sales will trust.

How It Works

What Lead Scoring Actually Does in the CRM

Behaviour and firmographics scored → MQL or SQL threshold → routed to the right rep → outcomes retrain the model.

1

Score Fit and Intent

Firmographics, page views, pricing visits, and engagement combine into one ranked score

2

Hit MQL or SQL

Shared thresholds promote the lead only when both fit and intent clear the bar

3

Route the Hot Queue

High scores assign to the right rep with SLA alerts before intent goes cold

4

Tune on Outcomes

Won and lost deals feed the model so next quarter's scores beat this quarter's

What We Build

Everything You Need for Lead Prioritisation Sales Trusts

Fit + Intent Scoring

Firmographic fit and behavioural intent combine into one transparent score. Sales sees why a lead ranks high, not just a mysterious number.

MQL and SQL Thresholds Sales Signs Off

We lock shared definitions with marketing and sales directors before go-live. When a lead crosses the line, everyone agrees it belongs in the queue.

Score Decay and Recency

Old webinar clicks lose weight over time. Buying signals from this week outrank activity from six months ago, so the queue stays honest.

Hot-Lead Routing SLAs

High-score leads route to the right rep within minutes, with alerts when the clock slips. Speed-to-lead stops being a hope and becomes a rule.

Closed-Loop Model Tuning

Won and lost outcomes flow back into the model. Scoring improves against real pipeline, not against gut feel from last year's campaign.

Explainable Score Cards

Each lead shows the top signals that drove the score. Reps trust what they can audit, which is why adoption sticks.

Questions

Frequently Asked Questions

What is CRM lead scoring, and how is it different from a marketing score?

CRM lead scoring ranks prospects inside the CRM by fit (firmographics) and intent (behaviour), so sales works the right queue first. A marketing-only score often stays in the automation tool and never reaches reps in a form they trust. We build models that live where sales already works, with MQL and SQL thresholds both teams own.

How long does a lead scoring model take to set up?

A standard fit-plus-intent model with routing and score decay takes 2–4 weeks from scoping to go-live. Simple rule-based thresholds on one CRM can be live within a week. Predictive or multi-product models with closed-loop tuning usually take 4–6 weeks.

Will sales actually use the scores?

Adoption fails when scores are opaque or when marketing sets thresholds alone. We design explainable score cards, run a parallel week where sales compares the ranked queue to their gut list, and only go live when both teams sign off on MQL and SQL definitions.

Do you replace HubSpot or Salesforce native scoring?

Not always. HubSpot retired its legacy Lead Score property in August 2025 and replaced it with engagement, fit, and combined scores plus decay. Salesforce Einstein needs enough history to train. We use native tools when they fit, and custom CRM logic or middleware when you need transparent models, multi-system signals, or scoring sales already trusts.

Which CRMs can you add lead scoring to?

We have built scoring and routing on HubSpot, Salesforce, Pipedrive, Zoho CRM, Monday.com, Freshsales, and custom CRMs. If your CRM stores contacts, activities, and deal outcomes, we can score and prioritise them.

How much does CRM lead scoring cost?

Simple rule-based scoring and routing starts from around R15,000. Fit-plus-intent models with decay, SLA routing, and closed-loop tuning typically range from R25,000 to R60,000. Most teams recovering even a few ignored high-intent leads a month see ROI within 2–3 months.
