Knox Safe Custody · Safe custody and precious metals

A CRM with compliance built in, for a precious-metals dealer

We built the staff CRM for Knox, a precious-metals dealer: client records, KYC and FICA checks, deals and documents in one place. Client names in these screens are changed for privacy.

The brief

Knox stores and trades bullion for individuals, companies and trusts. Every client needs KYC and FICA checks, periodic reviews and a clear record of who looks after them. That work lived in an off-the-shelf CRM and spreadsheets.

What we did

  • Client records for individuals, companies and trusts, with related entities linked
  • A KYC queue with FICA status, risk ratings, periodic reviews and country lists
  • Liaison assignment, approvals and a full audit timeline
  • Deals, orders, documents and live metal prices in the same console
  • Client records moved across from the previous CRM, cleaned up and matched to the new structure
  • A new public website on the same platform, with live metal prices and an online bullion shop

The result

Staff are testing it with the migrated client records ahead of go-live. Compliance work that lived in the old CRM and spreadsheets now sits in one queue, with the longest-waiting clients first.
