What is WebFootprint?

WebFootprint is a lean, Johannesburg-based digital agency that designs and builds websites, runs online marketing, and automates business workflows. We position ourselves as your strategic digital partner rather than just developers.

Where are you based?

We are based in Randburg, Johannesburg, at 121 Bellairs Dr, Avon Aire Village, Noordhang. We work with clients across South Africa and remotely.

Who do you typically work with?

We work with South African entrepreneurs, founders, and growing businesses, from one-person start-ups to established brands. Our aim is to give every SA business access to enterprise-level digital tools.

What makes WebFootprint different from other agencies?

Most agencies do one thing; we support your entire digital journey so everything works together. We offer personalised attention, rapid execution, transparent pricing, and direct access to the people doing the work.

Are you a large agency?

No, we are a small, agile team of about ten people. That lets us respond quickly, communicate directly, and give clients personal attention rather than passing them between departments.

Who will I be dealing with on my project?

You get direct access to our lead developers and the team members actually doing your work, rather than only account managers. We pride ourselves on open, real-time communication.

What are your business hours?

Our office hours are Monday to Friday, 9am to 5pm. We are closed on weekends, though we stay reachable for clients on WhatsApp for quick queries.

You can reach us on WhatsApp or by phone at 084 590 2401 (Mon-Fri, 9am-5pm), by email at info@webfootprint.co.za, or through the enquiry form on our site.

What is your vision?

To empower every South African entrepreneur with enterprise-level digital tools, so even a one-person start-up can compete globally with affordable automation, 3D visualisation, and data-driven marketing.

About us
Can a small business afford to work with you?

Yes. Our mission is to make enterprise-level tools affordable and accessible. We scope work to your budget and start projects from under R25,000, depending on the requirements.

Get started
Are you a South African company and do you bill in Rand?

Yes. We are a South African company based in Gauteng, and our quotes and invoices are in South African Rand (ZAR) unless otherwise stated.

Do I own the code and intellectual property?

Yes. All code, design files, content and data produced for your project belong to you. There is no lock-in and no proprietary system tying you to us. You can take everything and move at any time.

Can I take my website and host it elsewhere?

Yes. We build on open standards and mainstream platforms. If you ever want to move, we will hand over all files, databases and documentation. We have done this for clients before and support a clean handover.

What happens after launch?

You choose. You can manage the site yourself with the training and documentation we provide, or you can stay on a support plan where we handle updates, hosting, security and improvements. Many clients do a combination of both.

What is your response time for support requests?

For clients on a support plan, we respond within one business day for standard requests and within 4 hours for urgent issues. Critical outages get same-day attention. Response times are part of your support agreement.

How do you handle project communication?

You get direct access to the team doing the work. We communicate via WhatsApp, email and scheduled calls. No ticket queues, no account managers in between. You will always know who is working on your project.

What industries do you work with?

We have delivered projects across automotive, financial services, e-commerce, media, property, education, non-profit and government sectors. Our approach is adaptable, and we pick up domain knowledge quickly.

What makes WebFootprint different from a freelancer or a large agency?

We combine the personal service and direct access of a freelancer with the capability, reliability and breadth of a larger agency. Our team is small enough to be responsive but experienced enough to handle complex projects across development, marketing and automation.

Do you sign NDAs or confidentiality agreements?

Yes. We are happy to sign NDAs before discussing sensitive projects. Confidentiality and data protection are standard practice for us.

What guarantees or warranties do you offer?

All projects include a warranty period (typically 30 days post-launch) covering bugs and defects at no extra cost. For ongoing quality, our support plans provide continued maintenance and rapid issue resolution.

Getting Started

How do I get started with WebFootprint?

The easiest way is to tell us about your project through our quick form, which takes about two minutes. You can also message us on WhatsApp or call us, and we will set up a chat.

Start your project
What happens after I submit an enquiry?

We review what you sent us and get in touch to learn more about your goals. From there we scope the work and put together a clear quote and timeline before any work begins.

How quickly will you respond to my enquiry?

We aim to be in touch within 24 hours of receiving your enquiry.

Send an enquiry
Do I need a detailed brief or specification to start?

No. You do not need a 50-page spec. We start with a conversation about the problem you are solving and help define the simplest first version from there.

Is the first consultation free or is there any obligation?

Our initial chats are low-commitment with no pressure, no pitch deck, and no obligation. We focus on understanding your situation before recommending anything.

Book a chat
What information should I prepare before reaching out?

It helps to know your goal, the type of project, the main problem you want solved, a rough budget range, and your ideal timeline, but none of this is required to start a conversation.

Get started
How do you scope a project?

We start with a discovery chat to understand your goals, then define the scope, deliverables, and timeline. For builds we recommend starting with the simplest viable version and growing from there.

What is your typical project process?

Most projects follow the same shape: a discovery or review chat, then design or strategy, then build and test, then launch and optimise, with optional ongoing support afterwards.

How involved will I need to be during a project?

We keep you involved with regular feedback points, but we handle the technical side so you do not have to. The level of involvement is flexible and agreed up front.

How do you communicate during a project?

We use timely, transparent communication via WhatsApp, phone, and email, and give you direct access to the people doing the work so there are no layers of account managers in between.

Can I talk directly to the developers?

Yes. We give clients direct access to our lead developers and the team building the project, which keeps decisions fast and communication clear.

How long do projects take?

It depends on scope, but we work in lean, fast iterations. App builds that used to take months can take weeks, app finishing typically takes 1-3 weeks, and data-to-API projects usually go live in 2-4 weeks.

Do you provide timelines upfront?

Yes. We publish clear budgets, timelines, and deliverables before starting, and we update them the moment anything changes. Transparency is one of our core values.

What if my requirements change mid-project?

That is normal, especially with our build-and-iterate approach. We adjust the scope, timeline, and budget transparently and keep you updated rather than springing surprises.

Do you work with international clients?

Yes. While our focus is South African businesses, we have managed projects internationally, including website management for an EU programme (TTTFP), and we work remotely.

What is the difference between the quick chat and the project form?

The conversational quick chat is a fast, no-commitment way to tell us about your needs, while the project form is a short 6-step questionnaire covering your goal, project type, budget, and timeline. Both end with us getting in touch.

Start the form
Will I get a quote before any work begins?

Yes. We provide a clear quote and realistic timeline before starting. For app projects, most clients get a rough estimate within 24 hours of our first chat.

How long does a typical website project take?

Most websites launch in 4 to 8 weeks. E-commerce projects with large catalogues may take 8 to 12 weeks. Complex web applications and integrations can take 12 to 16 weeks. We confirm timelines during the scoping phase.

How long does a marketing campaign take to show results?

Paid ads can drive traffic within the first week. SEO typically takes 3 to 6 months to show meaningful organic growth. We set expectations upfront and report monthly on progress.

What do you need from us to get started?

A brief conversation about your goals, your target audience and any existing brand assets. We handle the rest. If you have existing analytics, competitor examples or content we can use, that helps speed things up.

Can we start with a small project and scale up later?

Absolutely. Many of our long-term clients started with a single landing page or marketing campaign. We build with scalability in mind so adding features later is straightforward.

Do you offer a discovery or strategy session before committing?

Yes. We start with a free 20-minute call to understand your goals. For larger projects we offer a paid discovery phase where we research, scope and document the project in detail before development begins.

Can you work with our existing developer or marketing team?

Yes. We regularly collaborate with in-house teams, other agencies and freelancers. We can lead the project, contribute specific expertise, or support your team with overflow capacity.

Pricing & Payments

How much does a website or project cost?

Cost varies widely based on complexity, so we quote each project after an initial chat. Our project budget bands run from under R25,000 up to R150,000+, and we scope work to fit your budget.

Get a quote
Do you have fixed prices or price lists?

We do not publish fixed price lists because every project is different. We give you a clear, itemised quote after understanding your requirements, with transparent costs and no hidden fees.

What budget ranges do you work with?

When you enquire we ask which band fits your project: under R25,000, R25,000-R75,000, R75,000-R150,000, R150,000+, or "not sure yet". This helps us recommend the right approach.

Tell us your budget
How long is a quote valid?

Quotes are valid for 30 days unless we state otherwise in the proposal.

Do you require a deposit?

A deposit may be required to begin work, depending on the project. The exact terms are set out in your individual proposal or agreement.

What are your payment terms?

Invoices are typically payable within 7-14 days, with specifics set out in your agreement. Prices are in South African Rand (ZAR) unless stated otherwise.

What currency do you bill in?

All quotes and invoices are in South African Rand (ZAR) unless otherwise agreed.

Are there any hidden fees?

No. Transparent pricing is one of our core principles. We share clear costs upfront so you know what you are paying for, with no hidden fees.

Do you offer any free audits?

Yes. We offer a free AI visibility (GEO) audit, a free data audit for our Data-to-API service, and a free WordPress website speed audit.

Free GEO audit
How quickly can I get an estimate?

For app projects, most clients get a rough estimate within 24 hours of our first chat. Other services are quoted after a short discovery conversation.

Are deposits refundable if I cancel?

Deposits are generally non-refundable unless otherwise agreed. If you terminate a project, you pay for the work completed up to that point.

Who owns the work once it is paid for?

Final deliverables become yours once payment is complete. We may retain pre-existing frameworks and tools we use, and we may showcase the work in our portfolio unless you ask us not to.

Do you offer milestone or staged payments?

Payment structures, including deposits and milestones, are agreed in your individual proposal so they suit the size and shape of the project.

What happens to payments if a project is cancelled?

If a project is terminated, you pay for the work completed up to that point, and deposits are non-refundable unless otherwise agreed in writing.

Do some services have ongoing or retainer costs?

Yes. Optional ongoing support, maintenance, and management (for example WordPress maintenance or app finishing support) can be arranged on a once-off or ongoing basis to suit you.

What is the typical budget range for a website project?

Brochure sites start around R25,000. E-commerce stores typically range from R50,000 to R120,000. Custom web applications and platforms can range from R80,000 to R250,000+. We scope and quote before any work begins so there are no surprises.

Do you offer payment plans?

Yes. Most projects are split into a 50% deposit upfront and 50% on launch. For larger projects we can agree milestone-based payments across the build.

Are there any ongoing costs after launch?

That depends on your needs. Hosting and domain registration are always separate costs. Optional ongoing services include maintenance plans, marketing retainers and managed hosting. We will always be upfront about what is included and what is extra.

What does a monthly support retainer include?

Retainers typically cover a set number of hours per month for updates, bug fixes, minor feature additions, security patches and performance monitoring. We tailor the scope and price to match what your project actually needs.

Do you charge for changes or revisions during the project?

Scope changes that go beyond the original agreement may incur additional costs, but we will always discuss and agree on pricing before doing the work. Minor feedback and revisions during the build are part of the process.

SEO services
Do you set up analytics and tracking?

Yes. We set up Google Analytics and tracking so you can see how visitors use your site and where your leads and enquiries come from.

What is your website design process?

Three steps: a quick chat with no technical questions or pressure, then design and build with your feedback, then setup and launch including domain, hosting, and final checks.

Website design
Do you offer ongoing website support after launch?

Yes. Ongoing support is optional and covers updates, content edits, technical support, and improvements so your site stays current and reliable.

I am not technical at all. Can you handle everything?

Absolutely. Our whole approach is "everything you need, one conversation". You speak to us and we take care of the technical setup, hosting, and launch.

Website design
Who is your website design service ideal for?

It is ideal for businesses that need a proper website, want to avoid technical setup, want a professional online presence, and want a reliable partner to handle it all.

No. The first chat involves no technical questions and no pressure. We help you figure out what you need and recommend the best approach from there.

What if I already have a website?

We can improve, support, secure, or extend your existing site rather than rebuilding from scratch. We also handle website transfers if you are moving hosts.

App Development

Do you build custom apps?

Yes. We build custom web apps, mobile apps, and internal business tools using an iterative MVP approach, starting with core features and growing intentionally.

App development
What kinds of apps can you build?

Marketplace and Uber-style apps with users, providers, admin, and payments; shopping and commerce apps; booking and on-demand platforms; client portals; and lightweight custom SaaS or business tools.

App development
Do I need a detailed 50-page spec to build an app?

No. You do not need a 50-page spec or a massive upfront budget. We start with a conversation and define the simplest first version together.

How long does app development take?

Faster than traditional development. With our lean, AI-assisted approach, what used to take months now often takes weeks.

What is the MVP approach you use?

We build the core features first, let you use the product, invite early users, observe what actually works, and then add features intentionally rather than over-building up front.

Who owns the app and the code?

You do. The app belongs to you, you control access and growth, and there are no forced lock-ins. You own the code, design, and data.

How does the app build process work?

It starts with an idea chat, then we define the simplest v1, give you a clear quote and realistic timeline, and start building, releasing and improving in iterations.

How quickly can I get a rough estimate for my app?

Most clients get a rough estimate within 24 hours of our first chat. We aim for honest pricing and realistic timelines with no surprises.

I built an app with an AI tool. Can you finish it?

Yes. Our app finishing service takes apps built with AI tools and makes them production-ready: polishing, debugging, deploying, adding a real backend, and supporting them.

App finishing
Which AI build tools do you work with for app finishing?

We work with projects from Bolt.new, Lovable, Cursor, Replit Agent, v0, Windsurf, Claude Artifacts, ChatGPT Canvas, and GitHub Copilot, among others.

App finishing
Will you rewrite my AI-built app from scratch?

No. It is a "no judgment zone" where we preserve your vision and keep what works rather than rewriting everything, and we explain changes in plain English.

Where do you deploy and host apps?

We handle domains, DNS, SSL, and CI/CD, and host on platforms like Vercel, Firebase, and AWS depending on what suits the project.

Can you add payments to my app?

Yes. We integrate payment providers such as Stripe and PayFast, which is well suited to South African businesses.

How long does it take to get an AI prototype to a live product?

Most app finishing projects go from AI prototype to live product in 1-3 weeks, depending on scope.

App finishing
What problems do apps built purely by AI tools usually have?

Common gaps include breaking on mobile, no real database, no authentication, being stuck on the AI tool’s hosting, and messy code that is hard to maintain. We fix these to make the app production-ready.

E-commerce, Shopify & WordPress

Do you build and grow online stores?

Yes. We treat e-commerce as a connected growth system focused on conversion, retention, traffic, and reporting, rather than isolated tactics.

E-commerce
Which e-commerce platforms do you work with?

We are platform-agnostic and work with Shopify, WooCommerce, custom builds, and other platforms. Our focus is the outcome rather than the platform.

E-commerce
Can you help recover abandoned carts?

Yes. We set up cart-abandonment notifications and emails plus checkout and funnel optimisation. Stores using cart-abandonment systems have seen recovery rates increase by up to 40%.

Can you help increase my store’s conversion rate?

Yes. We optimise checkout and funnels, add trust, urgency, and incentive flows, and treat your store as a system to turn more visitors into buyers.

Can you help drive more traffic to my store?

Yes. We use Google Merchant Center, Performance Max and Shopping campaigns, product feed optimisation, and remarketing audiences to drive qualified traffic.

Paid ads
Do you set up email automation for stores?

Yes. We build post-purchase flows, upsell and cross-sell, loyalty, promotions, and re-engagement campaigns to improve retention and repeat revenue.

I just want a one-off store launch. Is that a good fit?

Our e-commerce service is built for ongoing, systemised growth, so it is not ideal for one-off launches, traffic-only goals, or quick hacks without structure. We can still point you in the right direction.

Do I need to rebuild my Shopify store to work with you?

No. You usually do not need to rebuild. Most stores just need fixes, extensions, or custom logic, and we improve what you already have.

Shopify support
Can you customise my Shopify theme?

Yes. We edit and extend themes, build custom sections, fix mobile and desktop issues, and improve your product flow and UX.

Shopify support
Can you build custom Shopify features and logic?

Yes. We build custom checkout logic, special pricing and promotions, custom product options, and unique business rules, and can replace bloated apps with custom logic.

Can you integrate Shopify with other tools?

Yes. We integrate Shopify with accounting, email marketing, Google Merchant Center, data exports, and admin automation.

Can you improve my Shopify store’s speed?

Yes. We improve page speed, clean up themes and scripts, fix bugs, and keep your store stable as it grows.

Do you offer once-off or ongoing Shopify support?

Both. You can engage us for once-off work or ongoing support, and we keep it flexible without locking you in.

Do you offer WordPress support?

Yes. We support WordPress from emergency fixes to custom plugin development, security recovery, performance, and ongoing maintenance, treating your site as a business-critical system.

WordPress support
Can you build custom WordPress plugins?

Yes. We build site-specific plugins, extend existing plugins, add third-party integrations, and remove bloated plugins that slow your site down.

WordPress support
My WordPress site was hacked. Can you help?

Yes. We do malware cleanup, hacked-site recovery, secure vulnerable plugins and themes, and lock down attack vectors. The goal is prevention, not just a one-time fix.

Website hacked guide
Can you improve my WordPress site’s performance?

Yes. We optimise speed, clean up plugins and scripts, configure hosting and caching, and improve Core Web Vitals.

WordPress speed guide
Do you offer ongoing WordPress maintenance?

Yes. We offer ongoing support including updates, bug fixes, new features and pages, monitoring, and troubleshooting, on a once-off or ongoing basis.

SEO, GEO & Marketing

What does your online marketing service include?

It is an integrated growth engine combining SEO, Google Ads, email automation, retargeting, and GA4 analytics into one connected system, focused on return on investment rather than vanity metrics.

Online marketing
Do you combine SEO and paid ads?

Yes. We balance paid media with organic growth so ads inform SEO, SEO feeds email, email supports retargeting, and analytics drives decisions, which helps lower your cost of acquisition over time.

Marketing strategy guide
Are you certified in Google Ads?

Yes. We are certified in Google Search Ads and Performance Max.

How do you measure marketing results?

We use enhanced GA4 tracking, live dashboards, ROI-first reporting, and cross-channel attribution so you can see what is actually driving enquiries and sales.

Do you focus on vanity metrics?

No. We filter every activity by whether it improves return, efficiency, or scale. We will not optimise for clicks without conversions, traffic without intent, or reports without action.

Which CRM and email tools do you integrate for marketing?

We integrate tools like HubSpot, Mailchimp, and custom CRMs for lifecycle automation, automated follow-ups, and list management.

What is your approach to SEO?

Long-term and fundamentals-first: technical foundations, on-page and content optimisation, lead-generation focus, and local SEO, integrated with your website structure, analytics, and paid ads.

SEO services
Do you do keyword stuffing or chase algorithms?

No. We explicitly avoid keyword stuffing and algorithm chasing. We focus on quality and consistency so rankings grow steadily instead of spiking and disappearing.

How long does SEO take to work?

SEO is a long game and is rarely instant. Done properly it builds sustainable, predictable traffic over time rather than overnight spikes. It is not suited to those wanting overnight results.

What does technical SEO include?

Technical SEO covers audits, site structure and indexing, page speed, mobile optimisation, and Core Web Vitals, plus essentials like title tags, meta data, alt text, sitemaps, GA4, and Search Console.

Do you do local SEO?

Yes. We optimise your Google Business Profile, target local keywords, build location pages, and improve your visibility on the map pack.

Can you guarantee a number-one Google ranking?

No one can honestly guarantee a specific ranking. True SEO needs content, backlinks, and consistency, and without those, rankings plateau. We focus on steady, sustainable growth rather than promises.

What is included in on-page SEO?

Keyword and intent research, optimising titles, meta data, headers, and content, internal linking, and improving existing pages before creating new ones.

What is GEO (Generative Engine Optimisation)?

GEO optimises your content so AI search engines like ChatGPT, Perplexity, Google AI Overviews, and Claude cite and recommend your business. It is essentially SEO for the AI era.

GEO services
How is GEO different from traditional SEO?

Traditional SEO aims to rank blue links, while GEO aims to be cited in AI-generated answers. GEO relies on trust signals like accuracy, citations, and entity authority rather than just domain authority and links.

GEO services
Which AI engines does GEO target?

GEO targets ChatGPT, Perplexity, Google AI Overviews, Claude, and other AI answer engines.

Should I do SEO or GEO?

Do both. Strong SEO foundations make GEO work even better, so the two complement each other rather than competing.

GEO services
Do you offer a free AI visibility (GEO) audit?

Yes. We offer a free GEO audit and will tell you exactly what AI says about your business today.

Get your free GEO audit
What strategies does GEO use?

Six core strategies: answer-first content, topical authority, structured data and schema, entity optimisation, conversational content, and citation and source building.

GEO services
Why does GEO matter now?

Because AI answers are becoming a major way people find information. By 2026, over 40% of search queries are expected to include an AI-generated answer, so being cited by AI is increasingly important.

Paid Ads & Video

What paid ad channels do you manage?

Google Search Ads, Google Shopping and Performance Max, and social media remarketing, run together as one connected system to attract, follow up, and convert.

Paid ads
What is remarketing and why does it matter?

Remarketing follows visitors after they leave your site and builds familiarity. A large percentage of sales actually happen on the return visit, which is why it is a core part of our ad strategy.

How do you decide on ad budgets?

We focus spend on conversions rather than clicks, with clean campaign structure and data-driven decisions, and we reallocate budget toward what is actually working.

What metrics do you track for paid ads?

Cost per conversion, return on ad spend, and revenue and lead quality, not vanity metrics like raw clicks or impressions.

Why do paid ad campaigns often fail?

Common reasons are isolated campaigns, no conversion tracking, poor remarketing, unfocused budgets, and decisions made without data. We address each of these.

Do you manage Google Shopping and Merchant Center?

Yes. We set up and manage Google Merchant Center, optimise product feeds, and run Performance Max guided by data.

Is paid advertising right for one-off experiments?

Our paid ads service is built for measurable, ongoing growth, so it is not ideal for one-off experiments, set-and-forget campaigns, or businesses unwilling to track conversions.

Do you make explainer videos?

Yes. We produce AI-driven explainer videos that clarify your offering in under two minutes, using AI-assisted scripting, professional voice-over, and animation of your real interfaces.

Explainer videos
How are your AI explainer videos different or cheaper?

Traditional video can take weeks, long briefs, multiple agencies, and expensive updates. Our AI workflow makes production faster and more affordable, with fast iteration when you need changes.

Explainer videos
What is your explainer video process?

Four steps: AI-assisted script creation refined by a human, professional voice-over, smart visual animation of your real product, and fast iteration.

What are explainer videos best for?

They are ideal for SaaS, web apps, digital tools, and complex services, and work well for homepage heroes, product overviews, sales enablement, investor decks, onboarding, and ads.

Can one explainer video be reused across channels?

Yes. One explainer can be repurposed across multiple channels, from your website hero to social snippets and ads.

Do you make cinematic studio productions?

No. Our explainer videos focus on clarity and speed for digital products, and are not intended to replace cinematic studio productions.

WhatsApp & AI Chatbots

Do you offer WhatsApp automation?

Yes. We set up everything from WhatsApp Business to enterprise automation, including chatbots, booking, ordering, broadcasts, CRM sync, and multi-agent help desks.

WhatsApp automation
Why use WhatsApp for business?

WhatsApp has over 2 billion active users, around a 98% message open rate, and roughly a 45% response rate compared with email, plus 24/7 availability, making it a powerful channel.

WhatsApp automation
What can a WhatsApp chatbot do?

It can answer FAQs, qualify leads, handle scheduling and bookings, run conversational forms, and support e-commerce ordering, all 24/7.

Can I send broadcast messages without being flagged as spam?

Yes. We help you set up broadcast messaging properly so you can reach your audience without triggering spam flags.

Can customers book or order through WhatsApp?

Yes. We can build scheduling, booking, and e-commerce ordering flows, including payments within WhatsApp.

Can WhatsApp connect to my CRM?

Yes. We integrate WhatsApp with your CRM and set up automated follow-ups such as abandoned-cart reminders and order updates.

Can multiple agents use one WhatsApp number?

Yes. We can set up a live chat help desk with a shared inbox, agent assignment, and conversation history, so multiple agents work from a single number.

Is WhatsApp automation only for South African businesses?

Our WhatsApp automation service is specifically focused on South African businesses.

WhatsApp automation
How are your chatbots different from off-the-shelf bots?

Our custom LLM chatbots understand your products and processes, use your own data and documents, follow your business rules, connect to your APIs, and can take real actions, unlike generic bots.

AI chatbots
Can a chatbot use my own business data?

Yes. Chatbots can be trained on your data and documents and connect to your systems so they answer accurately about your specific business.

Can a chatbot take actions like creating tickets or quotes?

Yes. Chatbots can create tickets, generate quotes or estimates, create records, and trigger workflows, not just answer questions. For example, a roofing company bot can calculate an estimated quote before a salesperson gets involved.

Can chatbots connect to my existing systems and APIs?

Yes. They can connect to CRMs, accounting and pricing tools, calendars, internal databases, and custom APIs to fetch data, calculate, and create records.

Can I control what the chatbot is allowed to say or do?

Yes. We define business logic up front: what the bot should and should not answer, what data it can access, which actions it can take, when to escalate to a human, and accuracy and safety rules.

Can a chatbot escalate to a human when needed?

Yes. Human escalation is part of the business logic we configure, so the bot hands off to a person when appropriate.

Can chatbots be used internally for my team?

Yes. Internal assistants can answer process questions, help with onboarding, summarise documents, and act as a smart helpdesk for your team.

Will chatbots replace my support team?

No. We design AI to augment your team and keep humans in the loop, not to replace people entirely. One e-commerce chatbot delivered a 60% reduction in support tickets while staff handled the rest.

AI, Integrations & Data

What AI solutions do you build?

Intelligent chatbots, company-trained LLMs, internal knowledge systems with semantic search, AI image generation, virtual tutorials and video, and AI animations, always starting from a real problem.

AI development
Do I need a lot of data to start with AI?

No. You do not need a large dataset to begin. We start with a scoped proof of concept using your existing data and grow from there.

AI development
Is my data secure with your AI solutions?

Yes. Solutions can run on your own infrastructure with encrypted connections, and your data is not shared with third parties. Your data stays yours.

How accurate are AI responses?

We build explainable AI with humans in the loop, set honest expectations, and define accuracy and safety rules. Internal knowledge systems can cite their sources so answers can be verified.

Do you start with a proof of concept?

Yes. We always recommend a scoped proof of concept using your data before any major investment, so you can validate the idea first.

Will I be locked into your AI solution?

No. We avoid black-box solutions and vendor lock-in. You own everything, and we build explainable systems you can understand and control.

What is systems integration?

It is custom API integration so your business tools sync automatically, as a more reliable alternative or complement to brittle no-code automation.

Systems & integrations
Can you connect any of my tools together?

If there is an API, we can connect it. We have built hundreds of integrations across different industries and tools.

Systems & integrations
How is custom integration different from Zapier?

We build custom integrations when Zapier becomes complex, expensive, or unreliable. The benefits are full control, no per-task limits, clear logic, and long-term stability.

Do I own my integrations and data?

Yes. You own the integration and the data, you are not locked into a third-party workflow engine, and the integration can be handed over and maintained long-term.

What kinds of integrations have you built?

Sales and CRM (lead capture, deal sync, follow-ups), accounting and finance (invoices, payments), task, calendar, and workflow automation, and custom middleware and API layers.

What is your integration process?

We review your workflow and tools, design the integration (APIs, data structures, triggers, error handling), build and test it, then deploy and support it.

What is the Data to API service?

We turn your databases, websites, documents, and business data into secure, documented APIs that other tools, dashboards, chatbots, and LLMs can use.

Data to API
What can I do once my data is an API?

You can power LLM and AI integrations, improve GEO and AI visibility, sync across platforms, build custom dashboards and tools, automate workflows, and even monetise data with API keys and tiered access.

Data to API
How long does it take to build an API?

Most APIs are live within 2-4 weeks, and simpler projects can be faster.

Do I own the API once it is built?

Yes. You own the API, the infrastructure, and the documentation, with no vendor lock-in, and optional managed hosting if you want it.

Is there a free data audit for the Data to API service?

Yes. We offer a free data audit to assess your data and recommend the best way to turn it into an API.

CRM & Sales Systems

Do you build or set up CRMs?

Yes. We design CRMs, build custom ones, and handle setup, configuration, integrations, automation, and reporting, all aligned to how your team actually sells.

CRM & sales systems
Why do CRMs often fail?

CRMs commonly fail because of too many unused fields, duplicated data, manual activity tracking, memory-based follow-ups, and inaccurate reports. We build around your real process to avoid this.

Can you build a custom CRM around my sales process?

Yes. We build custom pipelines and stages, simple interfaces, and only the data you need, shaped around how your sales flow actually works.

CRM & sales systems
Can you integrate my CRM with other tools?

Yes. We integrate CRMs with email, calendars, accounting, websites and forms, and marketing tools.

Can you automate follow-ups and reminders?

Yes. We set up follow-up reminders, deal-stage actions, task creation from emails and forms, and notifications so nothing slips through the cracks.

What reporting can a CRM give me?

Pipeline views, activity tracking, performance dashboards, and sales and conversion reporting so you have real visibility.

Do I own my CRM data?

Yes. You own your data, you are not locked into unnecessary features, and the system grows with you.

We are outgrowing spreadsheets. Can you help?

Yes. Our CRM service is ideal for teams outgrowing spreadsheets, missing follow-ups, or frustrated with bloated, generic CRMs.

CRM & sales systems
Can you clean up our existing CRM?

Yes. CRM setup includes structuring data, custom fields and pipelines, roles and permissions, automation, and data cleanup.

Is CRM work once-off or ongoing?

Either. We review your sales process, design and build or configure the system, then refine and support it on a once-off or ongoing basis.

Configurator & Consulting

What is the 3D vehicle configurator?

It is a bespoke web-based 3D configurator for vehicles and OEM accessories, with real-time visualisation, analytics, and CRM lead handoff, used to increase accessory attach rates and basket value.

Vehicle configurator
Who have you built configurators for?

We built Toyota South Africa’s online vehicle configurator with our delivery partners Identikit and Battalion Media. We also powered the configurator for Front Runner Outfitters’ vehicle accessories catalogue.

Vehicle configurator
Will the configurator replace our global configurator?

No. It complements rather than replaces a global configurator, and is ideal for microsites, launch activations, and regional pilots.

How long does a configurator pilot take?

A pilot typically takes 6-10 weeks from asset handover for a single model with a focused accessory set.

What drives the cost of a configurator?

The main cost driver is the 3D assets. Reusing global or supplier CAD reduces cost, and overall scope depends on the number of models and accessories.

Who owns the data from the configurator?

You do. The configurator feeds analytics into GA4 and your CRM, giving you data on which colours, trims, and accessories convert, and you own that data.

Vehicle configurator
What does your digital consulting involve?

Hands-on, often on-site review of how your business works to find duplication, mistakes, and memory-dependent processes, then real opportunities to automate and improve, with a prioritised roadmap.

Digital consulting
Is your consulting just strategy slide decks?

No. We do not do generic strategy consulting or slide decks. We deliver real, usable improvements with practical next steps and no jargon.

Can you also implement the consulting recommendations?

Yes. Beyond the roadmap, we can design systems and workflows, build custom tools and integrations, improve platforms, and provide ongoing support.

Hosting, Domains & Email

Who is your hosting partner?

We commonly use Xneelo as a hosting partner. Xneelo offers free 24/7 telephonic support on 0861 0861 08 and at support@xneelo.com.

Email setup guide
Can you set up my business email?

Yes. We offer remote email setup at an hourly rate and can configure your email across devices. We also have a step-by-step email setup guide.

Email setup guide
Can you help me set up email on my phone or computer?

Yes. We provide remote email setup help for phones and computers, and there are detailed guides for Apple Mail and smartphone setup via the Xneelo help centre.

What are the email server settings for Xneelo hosting?

For Xneelo, the incoming IMAP server uses SSL on port 993, and outgoing SMTP uses SSL on port 465 or TLS on port 587, with SMTP authentication required. Webmail is at mail.webfootprint.co.za.

Email setup guide
Can you transfer my website to a new host?

Yes. We handle website, domain, and email transfers, aiming for minimal downtime. We just need the relevant logins or authorisation codes.

Website transfer guide
How long does a website transfer take?

From Xneelo, a website transfer typically takes 1-2 hours. From other hosts it can take 4-8 hours, and very large sites (over 15GB) may take longer.

Website transfer guide
Will transferring my domain cause downtime?

No. A domain transfer does not cause downtime, and you are not double-charged; the domain simply renews as normal at the next renewal date.

Can you migrate my email when moving hosts?

Yes. We offer several options: setting up new accounts only, server-to-server migration, or manual per-user migration. Email transfers usually take the longest of all transfer tasks.

What is Google Workspace and should I use it?

Google Workspace gives you professional email, Calendar, Drive, Docs, Meet, and admin controls on your own domain. It is great for collaboration, storage, and better spam filtering than typical shared hosting email.

Google Workspace guide
Can I keep my domain where it is when moving to Google Workspace?

Yes. You can keep your domain at your current registrar (for example GoDaddy); only DNS changes are needed to point email to Google.

Google Workspace guide
How long do DNS changes take to update?

DNS changes can take up to 72 hours to fully propagate. For zero downtime when migrating email, we migrate first and then switch the MX records.

Is there a free trial for Google Workspace?

Yes. Google Workspace offers a 14-day free trial, and our guide includes a referral link.

Google Workspace guide
Can you handle domain transfers?

Yes. We handle domain transfers; we typically need your domain login or an EPP/auth code plus the approval email to complete the transfer.

Roughly what does professional email like Google Workspace cost?

Google Workspace starts at around R150 per user per month, and we recommend it over shared hosting email when you need more reliable delivery and better spam filtering.

Security, Speed & Maintenance

My website was hacked. What should I do first?

Run a malware scan, check your uploads folder, update all plugins, themes, and core, change admin passwords, remove unused plugins, and enable auto-updates. Xneelo users can also activate the Cloudbric firewall.

Website hacked guide
Can you recover a hacked WordPress site?

Yes. We offer hacked-site recovery and rebuild services, cleaning malware, hardening security, and locking down the attack vectors used.

WordPress support
Should I clean my hacked site or rebuild it?

It depends. You can clean and harden the existing site, but backdoors can hide deep in themes, plugins, or the database, so a clean rebuild from scratch with trusted plugins is sometimes the safer option.

Website hacked guide
How do I stop my emails going to spam?

Check whether your mail server is on a blacklist (for example with MXToolbox), avoid spammy content and ALL CAPS, and make sure SPF, DKIM, and DMARC are set up. We can help configure your server and domain.

Why emails go to spam
Why am I not receiving emails?

Check your spam or junk folder first, since spam often auto-deletes after 30 days. Server-level filtering, blocked senders, or inbox rules can also hide mail. If we manage your hosting we can check logs and whitelist senders.

Not receiving emails?
What are SPF, DKIM and DMARC?

They are email authentication records that prove your messages are legitimate. Missing or misconfigured SPF, DKIM, and DMARC records hurt deliverability and make your mail more likely to land in spam.

Why emails go to spam
How can I make my WordPress site faster?

Use good hosting and a lightweight theme, clean up plugins, serve images as WebP, enable caching, and use a CDN like Cloudflare. A slow site (over 3 seconds to load) can lose around half of its visitors.

WordPress speed guide
What page speed should I aim for?

Aim for a load time under 3 seconds, TTFB under 200ms, LCP under 2.5 seconds, and CLS under 0.1. Speed affects user experience, SEO rankings, conversions, and bounce rate.

WordPress speed guide
Do you offer a free website speed audit?

Yes. We offer a free WordPress speed audit to identify what is slowing your site down.

WordPress speed guide
Do you offer ongoing maintenance and security?

Yes. We provide ongoing support including monitoring, updates, security hardening, performance improvements, and bug fixes, treating your site as a business-critical system.
