Migrate from a Legacy Database or Access DB to CRM: Modernise Before It Breaks
Your customer book still lives in Microsoft Access on one person's laptop. That is not a CRM. One corrupted .accdb, one resigned Access person, or one ransomware event on the file share and decades of relationships are gone.
We extract, clean, map, and cut over into a real CRM without losing the history that built your business.

Sound Familiar?
These are the exact risks owner-operators and ops directors describe when the customer book still lives in an old database:
- The entire customer book lives in one Microsoft Access .accdb on a single laptop
- Only one "Access person" knows the queries, forms, and VBA. When they leave, the business stalls
- Multi-user locking freezes the database whenever two people open the same form
- No mobile access, no audit trail, and Compact and Repair is the weekly ritual
- A corrupted file, ransomware on the file share, or a dead hard drive would wipe decades of relationships
Access 2016 and 2019 lost Microsoft security updates on 14 October 2025, the same day Windows 10 support ended. Unsupported Office on an unpatched OS, sitting on a laptop or file share, is a ransomware target with your entire customer book inside one file.
What Legacy Database Migration Actually Does
Extract → clean → map → cut over. Access stays available until the CRM is proven.
Extract the Legacy File
Tables, relationships, notes, and lookups pulled from Access, FoxPro, FileMaker, or SQL Express
Clean & Deduplicate
Fix broken keys, merge duplicates, standardise phones and emails before load
Map into the CRM
Contacts, companies, deals, custom objects, and associations rebuilt from Access foreign keys
Parallel Cutover
CRM goes live, Access archived read-only, multi-user and mobile from day one
Everything You Need to Escape the Old Database
Legacy Extraction
We pull tables, relationships, notes, and attachment metadata from Access .mdb/.accdb, FoxPro, FileMaker, and on-prem SQL Server shared files without relying on the one person who "knows Access".
Data Cleaning Pass
Duplicates, blank phones, broken foreign keys, and orphaned child rows get fixed before anything lands in the CRM. Clean data in beats years of cleanup after.
Schema Mapping
Access tables and lookups map to CRM contacts, companies, deals, custom objects, and associations so parent-child links survive the move.
Relationship Rebuild
Foreign keys become CRM associations. Activity history, notes, and linked documents stay attached to the right records.
Parallel Cutover
The Access file stays read-only while the CRM runs live. We reconcile counts, spot-check relationships, then retire the legacy file on a go/no-go gate.
Multi-User & Mobile Day One
Sales, ops, and owners work the same customer book from desk or phone, with role permissions and a full change audit trail Access never had.
CRMs We've Migrated Legacy Databases Into
From One Access Laptop to a Live CRM in 6 Weeks
How a Gauteng wholesale distributor moved 18 years of customer history out of a single .accdb and into HubSpot without a day of downtime.
The Access Bottleneck
- 42,000 customer and order-history records in one Access 2016 .accdb on the ops manager's laptop
- Only two people could open the file without "file already in use" lockouts
- No mobile access for reps on the road; quotes still emailed from Outlook drafts
- No audit trail of who changed a credit limit or contact number
- Weekly Compact and Repair; last corruption scare took two days to recover from backup
The CRM Cutover
- Extracted, cleaned, and mapped all 42,000 records into HubSpot with company-contact associations intact
- Parallel run for 5 business days with Access read-only as the safety net
- Weekend cutover; sales opened Monday on HubSpot with zero lost deals
- Eight users online at once from desk and phone, with role permissions
- .accdb archived read-only for audit; Compact and Repair retired for good
Before vs After Modernising Off Access
How It Works
From first conversation to live CRM in 4–8 weeks for most Access databases.
Audit the Legacy File
We inventory tables, VBA forms, relationships, and who still depends on Access for daily work.
Extract, Clean & Map
Export and clean the dataset, agree field mappings, and decide what archives offline vs what migrates live.
Load & Parallel Run
Import into the CRM, rebuild associations, train the team, and keep Access read-only as a safety net.
Cut Over & Archive
Go live on the CRM, validate counts and relationships, then archive the .accdb as a read-only vault.
Frequently Asked Questions
Is Microsoft Access still supported, or should we migrate now?
Access itself is not discontinued, but Access 2016 and 2019 lost all Microsoft security updates on 14 October 2025, and Access 2021 reaches end of support on 13 October 2026. Combined with Windows 10 end of support on the same October 2025 date, many Access databases sit on unpatched OS and Office stacks. The bigger risk is architectural: a single-file database is not a CRM. Migrating while the file still opens is far cheaper than recovering after corruption or ransomware.
What legacy databases can you migrate into a CRM?
We regularly extract from Microsoft Access (.mdb and .accdb), FoxPro, FileMaker, shared SQL Server Express or desktop SQL files, and other on-prem single-file or shared-folder databases. Destination platforms include HubSpot, Salesforce, Microsoft Dynamics 365, Pipedrive, Zoho CRM, and custom CRMs.
How long does an Access-to-CRM migration take?
A simple Access database under about 5,000 records can move in 1–2 weeks. Most mid-complexity Access solutions with related tables, notes, and activity history run 4–8 weeks: audit, clean, map, parallel run, and cutover. Heavy VBA and large attachment stores can stretch toward 10 weeks.
Will we lose relationships and history?
No. We rebuild foreign-key relationships as CRM associations and migrate notes, call logs, and linked activity where it exists in Access tables. The original .accdb is kept as a read-only archive for audit reference after go-live.
How much downtime should we expect?
A structured parallel cutover usually means zero business days of downtime. The team keeps using Access in read-only or dual-run mode while the CRM is loaded and validated. Final cutover is typically a short weekend or evening freeze measured in hours, not days.
How much does a legacy database to CRM migration cost?
Scoped Access-to-CRM migrations typically land between R45,000 and R150,000 depending on table count, relationship complexity, cleaning effort, and destination CRM. Against even a single day of customer-book downtime (often R28,000–R167,000 for an SME), most projects pay back inside the first quarter on risk reduction alone.
Stop Betting the Business on One Access File
If your customer book still lives in Microsoft Access, FoxPro, FileMaker, or another legacy database, you are one corruption event away from losing the relationships that keep the business running.
