Connect Your CRM to Zoho Books: Unified Sales and Finance
Zoho ships a native Zoho CRM to Zoho Books connector, and for a single organisation using only standard fields, it works. The moment you add a custom field, a second Books organisation, or a CRM that isn't Zoho, the sync quietly stops carrying what your business actually runs on.
We build the Zoho integration that goes the rest of the way.

Sound Familiar?
These are the exact issues our clients faced before we rebuilt their Zoho sync:
- You already run Zoho's native connector, and it still won't carry the fields your team actually uses
- New contacts, vendors and products only reach Zoho Books on a two-hourly sync, so nothing is ever current
- Your sales team lives in HubSpot, Pipedrive or Salesforce, and there is no native path to Zoho Books at all
- Quotes raised in the CRM and quotes raised in Zoho Books have quietly become two separate sets of records
- Month-end means cross-checking Zoho Books against the CRM line by line
Zoho entered the ERP market in 2026, and the wider rollout arrives through upgrades to Zoho Books itself, adding billing, spend management, inventory and order management modules. Your finance layer is about to carry far more of your operation, which makes how it connects to your sales pipeline a much bigger decision than it was last year.
What a Real Zoho Books Sync Actually Does
Deal closes, invoice drafts itself, payment lands back in the CRM. Nobody retypes anything, and nobody waits two hours.
Deal Closes in the CRM
Zoho CRM, HubSpot, Pipedrive or Salesforce, it makes no difference to the flow
Invoice Drafted in Zoho Books
Customer, items, tax rates and terms mapped correctly, custom fields included
Payment Synced Back
Client settles in Zoho Books and the CRM deal marks itself paid
One Set of Numbers
Revenue in the CRM matches revenue in Zoho Books, so reconciliation stops being a project
Zoho Invoicing That Matches How You Actually Sell
Past the Native Connector's Limits
Custom fields on non-standard layouts, custom modules, and transaction-level logic that Zoho's built-in sync simply will not map.
Any CRM to Zoho Books
HubSpot, Pipedrive, Salesforce and Monday.com have no native route into Zoho Books. We build the one that works.
Instant, Not Every Two Hours
A won deal drafts its invoice in Zoho Books within seconds, rather than waiting for the next scheduled sync window.
Multi-Organisation and Multi-Currency
Run several Zoho Books organisations without dropping to one-way sync, and bill each client in the currency they signed in.
One Set of Quotes and Invoices
No more parallel records between your CRM's own modules and the finance modules. One source of truth for every transaction.
Payment Status Back in the CRM
When a client settles in Zoho Books, the deal updates itself. Sales stops asking finance who has paid.
CRMs We've Connected to Zoho Books
From 9 Hours a Week to 1
How a 35-person equipment supplier already running Zoho One got their Zoho Books sync to finally carry the whole job, and got paid 11 days sooner.
The Native Connector Alone
- Around 70 invoices a month, each needing 22 minutes of manual correction
- Service level and site reference lived on a custom CRM layout the sync could not map
- New customers took up to two hours to appear in Zoho Books
- Quotes existed twice, once in the CRM's own module and once in Zoho Books
- Month-end reconciliation ran to two full days of cross-checking
The Integration We Built
- Won deal drafts a complete Zoho Books invoice in under a minute
- Every custom field carried across, including service level and site reference
- Customers and items sync the moment they change, not on a two-hour timer
- One set of quotes and invoices, visible from both systems
- Payment status writes back to the deal automatically

Frequently Asked Questions
We already have Zoho's native CRM to Books connector. Why would we pay for anything more?
Because the native connector covers the happy path and nothing beyond it. Zoho documents that new accounts, contacts, vendors and products only sync every two hours; that custom fields added to any layout other than the standard one cannot be mapped at all; that connecting more than one Zoho Books organisation forces the whole sync down to one-way with transaction modules excluded; and that transactions created in Zoho CRM's own Quotes and Invoices modules never reach Zoho Books, leaving you with two parallel sets of records. If none of that describes you, keep the native connector and save your money. Most businesses past about 20 staff hit at least two of those walls.
Our CRM is not Zoho, but our finance team is on Zoho Books. Can that work?
Yes, and this is the more common brief. Zoho ships no native connector between Zoho Books and HubSpot, Pipedrive, Salesforce, Monday.com or Microsoft Dynamics, so every one of those setups needs a purpose-built integration. We map your deal stages, product catalogue and tax treatments to Zoho Books customers, items and invoices, and push payment status back into the CRM so sales can see it without asking.
Will this break the native integration we already have?
No. In most cases we leave the native connector handling what it does well, usually the customer and item sync, and build alongside it for everything it will not carry. Where the native sync is actively causing duplicates or record conflicts, we will say so during scoping and recommend replacing it. Either way we run both in parallel before anything is switched off.
We run more than one Zoho Books organisation. Does that change things?
It is one of the strongest reasons to build custom. Zoho's own documentation is explicit that connecting multiple Zoho Books organisations to a single Zoho CRM account switches the sync to one-way, from CRM into Books only, and stops transaction modules syncing entirely. A custom integration keeps two-way sync across every organisation and routes each deal to the correct entity based on your own rules.
How long does a CRM to Zoho Books integration take?
A focused build that fills specific gaps in an existing Zoho setup is usually live in 2 to 3 weeks. A full integration from a non-Zoho CRM into Zoho Books takes 3 to 5 weeks, and multi-organisation or multi-currency work with inventory and project billing sits closer to 5 to 7 weeks. We always run a week of parallel testing before going live.
How much does a CRM to Zoho Books integration cost?
Filling the gaps in an existing native Zoho sync typically starts from around R15,000. A full bidirectional integration from a non-Zoho CRM into Zoho Books, with custom field mapping and payment sync, generally runs R25,000 to R60,000. On roughly 70 invoices a month, most clients recover the build cost within three months of going live.
Make Zoho Books and Your CRM Agree
If your finance team is still correcting what the sync could not carry, you are paying staff to compensate for software. That is a solved problem.
