Extract Data from VTiger CRM: Complete MySQL Extraction

Your Friday CSV exports miss custom fields, picklists, and the parent-child links that make VTiger useful. Ops rebuilds the same spreadsheet every week, and nobody trusts the dump for board reporting or migration prep.

We deliver a complete, repeatable VTiger MySQL extraction with relationships intact.

The Problem

Sound Familiar?

These are the exact issues CTOs and ops leads bring us when VTiger data export keeps failing them:

  • Friday CSV exports from VTiger skip custom fields stored in the separate MySQL tables
  • Picklists, multi-selects, and parent-child links between Contacts, Accounts, and Deals flatten or vanish
  • The REST API caps queries at 100 records per fetch and cannot join modules, so large extracts crawl
  • Ops rebuilds the same spreadsheet joins every week for board and BI reporting
  • Staged migration prep stalls because nobody trusts the incomplete dump as a source of truth

VTiger Cloud support has told some customers they can only share a full database backup once every six months. If you need weekly reporting or migration prep, waiting on a rare dump is not a strategy. A designed extract is.

How It Works

What VTiger MySQL Extraction Actually Does

Source audited → fields and links pulled → warehouse loaded → reports trust the numbers.

1

Map the Source

Modules, custom-field tables, picklists, and the relationships reporting needs

2

Extract Completely

MySQL joins plus API paging so custom fields and links leave with the records

3

Load the Destination

Warehouse, BI model, or staging CRM with documented field mapping

4

Schedule and Prove

Incremental runs, spot-check counts, and a pipeline ops can re-run without us

What We Build

Everything You Need for Reliable VTiger CRM Migration Prep

Complete MySQL Extraction

We pull standard modules plus the custom-field tables (the cf joins native CSV never makes), so every field your team actually uses leaves VTiger intact.

Relationships Preserved

Contacts stay linked to Accounts, Deals keep owners and stages, and activity history travels with the records instead of becoming orphan rows.

API Plus Database Hybrid

Where cloud limits or session auth slow the API, we combine webservice paging with MySQL access on self-hosted installs so volume does not become a weekend project.

Warehouse and BI Ready

Clean, documented loads into BigQuery, Snowflake, SQL Server, or Power BI so ops stops living in Excel export Fridays.

Repeatable Schedules

One-off dumps go stale. We deliver incremental extracts you can re-run nightly or before a cutover window without starting from scratch.

Migration Prep Without Guesswork

If a CRM switch comes later, you already hold a validated extract with custom fields and relationships mapped. The cutover starts from known good data.

Client Story

From 10 Hours/Week to 45 Minutes

How a 35-person distribution business stopped trusting broken Friday CSVs and got a warehouse feed ops could defend in the board pack.

Before

The Manual Export Ritual

  • Ops exported Contacts and Potentials as CSV every Friday afternoon
  • Custom fields living in the MySQL cf tables never appeared in the files
  • Deal-to-contact links had to be rebuilt by hand in Excel each week
  • API-only attempts stalled at 100 records per page with no joins
  • Board pipeline figures disagreed with the live VTiger screen
10 hrs/week spent on VTiger data export and cleanup
After

The Repeatable Extract

  • Nightly MySQL plus API pipeline lands in their SQL warehouse
  • Every custom field and picklist value included by design
  • Account, contact, and deal relationships arrive already linked
  • Power BI board pack reads the warehouse, not a stitched CSV

Getting Started

How It Works

From first conversation to a live, repeatable extract in 2–4 weeks.

01

Audit Your VTiger Data

Edition, hosting, custom fields, module volume, and which relationships reporting or migration cannot lose.

02

Free Scoping Call

30-minute call to map source tables, destination (warehouse, BI, or staging CRM), and a fixed extract quote.

03

Build and Validate

We extract via MySQL and API, prove custom-field and relationship coverage against spot checks, then schedule the load.

04

Go Live and Hand Over

Repeatable pipeline live, documentation for your ops team, and optional delta sync so reports stay current.

Questions

Frequently Asked Questions

Why does a VTiger CSV export miss so many fields?

Open-source VTiger stores custom fields in separate MySQL tables (for example vtiger_contactscf) that the UI exporter often fails to join cleanly. Community threads document blank organisation exports, missing custom columns, and SQL that returns headers only. A proper VTiger MySQL extraction joins those tables deliberately so custom fields and picklists survive.

Can we extract everything through the VTiger API alone?

Not comfortably at scale. Official REST docs limit queries to 100 records per fetch and disallow joins across modules. Teams with hundreds of thousands of tickets have reported multi-hour pulls just to page through one module. We use the API where it fits, and MySQL on self-hosted installs when relationships and volume demand it.

Is this the same as migrating off VTiger?

No. This engagement is extraction for reporting, BI, warehouses, or staged migration prep. You can keep running VTiger while data lands somewhere trustworthy. A full platform switch is optional later, and a clean extract makes that cutover far less risky.

What destinations do you load into?

Most clients land in a warehouse or BI stack: BigQuery, Snowflake, SQL Server, PostgreSQL, Power BI, or Looker. We can also stage into a target CRM when you are preparing a later cutover. Destination choice follows how you need to report, not a fixed product list.

How long does a VTiger data export project take?

Focused extracts for contacts, deals, and custom fields typically take 2 to 4 weeks from scoping to first validated load. Large activity histories, heavy custom modules, and warehouse modelling push toward 4 to 6 weeks. Incremental schedules usually follow the initial full extract.

How much does VTiger MySQL extraction cost?

Simple one-way extracts into a warehouse start from around R15,000. Relationship-aware pipelines with custom fields, incremental sync, and BI modelling typically range from R25,000 to R60,000. Against 8 to 12 hours a week of manual export labour, most ops teams see payback inside two to three months.
